Guidelines for Annual Post–Doctoral Fellow Evaluation

The University of North Carolina at Chapel Hill requires that all post-doctoral fellows receive an annual evaluation in writing. The annual post-doctoral evaluation process is intended to serve as a time of reflection about the past and planning for the future. The process involves two parts: a self-evaluation by the fellow and a written evaluation done by the sponsor (or faculty mentor). The evaluation is done annually during the spring semester, and 1 copy of written reports combining the fellow self-evaluation and the sponsor evaluation must be submitted to the Director of Doctoral and Post-Doctoral Programs and, if applicable, a second copy is submitted to the director of the T32 training program no later than May 15. T32 directors may set earlier due dates if they desire.


A. The self-evaluation must be submitted to the sponsor (or faculty mentor) during the spring semester at the deadline specified by the sponsor but no later than April 15. It should include:

1. A cover sheet with the following information:

Name:

Calendar Year under Review: _________________ Date:__________

2. A completely updated curriculum vitae (typed in the format shown on the P Drive), with accomplishments for the previous year highlighted, including honors and research projects, publications, grants, coursework, and other activities, such as teaching, clinical, or service to the University or School of Nursing.

3. The goals that were previously written for the year under review in either the fellowship application or the previous year’s review.

4. A reflective summary and evaluation of performance according to both the year’s goals and the goals of the fellowship program/application.

5. A rating of overall performance, using the following descriptions:

Exceeded goals: implies an overall performance that is clearly above and beyond what is expected.

Met goals: implies an overall performance is very good and congruent with the expectations of the fellowship.

Failed to meet goals: implies an overall performance that is less than what is expected for the fellowship.

6. List goals for the coming year, a brief plan for accomplishing these goals, and the resources/assistance needed.


B. The sponsor prepares a brief (usually no more than 1 page) summary of his or her evaluation of the post-doctoral fellow’s performance over the past year based on the sponsor’s observation and the fellow’s self-evaluation. The sponsor also rates the fellow’s performance using the previous descriptors and briefly explains the rationale for the rating.

The sponsor then meets with the fellow and discusses the written summary with the fellow. The fellow is given a copy of the sponsor’s comments to keep. The fellow and the sponsor sign the written summary as evidence that they both have seen and discussed the materials. If the fellow disagrees with the sponsor’s conclusions, he or she may add written comments to the evaluation materials.

Prior to May 15 or an earlier date set by the T32 director, the sponsor submits the original evaluation materials (fellow self-evaluation, sponsor’s evaluation, and any comments by the fellow) to the Director of Doctoral and Post-Doctoral Programs and, if applicable, a second copy is submitted to the director of the T32 training program. T32 directors may add written comments if they desire, but these comments must be given to the post-doctoral fellow as well as being added to the evaluation materials given to the post-doctoral program director. The fellow should also have an opportunity to respond in writing to the T32 director’s comments and to have the response included with the evaluation materials. These evaluations are filed in the Office of Academic Affairs.
