The following information is designed to help you get oriented to UNC, the School of Nursing (SON) and your new role with us as quickly and thoroughly as possible. It’s a lot of information, so it might be worth bookmarking this page for easy reference later.

Please read and complete each form that pertains to your position and turn in your signed originals to our Office of Human Resources in 108 Carrington Hall.

Getting started—important acronyms for identification

If you’re new to UNC Chapel Hill, welcome! Knowing these few acronyms will be helpful to you:

  • Your PID is your Personal ID—a 9-digit number the University uses to identify you. It’s created by UNC Human Resources as soon as you accept your position. It will be printed on your One Card if you need help remembering it in the future.
  • The UNC One Card is your campus ID card (and much more—for instance, your One Card is used for obtaining access to Carrington Hall after hours). You’ll make a trip to the One Card office your first week on the job to have your photo taken and to pick up your card.
  • Your ONYEN—You’ll see it mentioned everywhere, and you’ll use it constantly. Short for “Only Name You’ll Ever Need,” your ONYEN is your login to most University (and SON) networks. To learn more about and to create your Onyen, please click here.

The University has a few forms it requires all employees to complete. On your first day, please print, sign and date these forms and turn them in to the School of Nursing Office of Human Resources in 108 Carrington.

For Temporary Employees:

INSURANCE AND OTHER BENEFITS

  • Liability Insurance – The School requires enrollment in a professional liability insurance plan for any employee who engages in interviewing, teaching or rendering nursing care, supervising students and/or clinical research in a hospital setting. Undergraduate Faculty and Teaching Fellows who teach or supervise students in hospital settings are covered under the School’s blanket liability policy that covers undergraduate students. Nonetheless, individual liability coverage is strongly recommended.
  • If you need access to the UNC Hospitals CIS computer system or a UNC Hospital photo ID badge, please contact your division manager.

GETTING TO WORK AND PARKING

GETTING PAID | RECORDING LEAVE

  • Biweekly Paychecks—Temporary employees and student assistants receive paychecks every other Friday except when holidays fall on a Friday. When that happens, paychecks are received immediately prior to the holiday. If your start date is after the first day of a two-week pay period, it’s possible your first paycheck will be delayed due to payroll deadlines. To view your paystub, login to ConnectCarolina (faculty, staff and alumni)” with your Onyen, then click on the “SelfService” tab on the left.  Select “View Paycheck” to view and print your most recent paystub.   • Monthly Paychecks—TAs, RAs, Gas and PostDocs typically receive paychecks on the last working day of each month except for December when paychecks are received prior to Winter Break. If your start date is after the fifteenth of the month, there is a possibility that your first paycheck will be on the last working day of the following month due to payroll deadlines. To view your paystub, login to ConnectCarolina (faculty, staff and alumni)” with your Onyen, then click on the “SelfService” tab on the left.  Select “View Paycheck” to view and print. Monthly Pay Schedule

  • SON Organizational Chart
  • Keys—You will receive keys to your office on your first day from your division manager. If you would like to arrange for early key pick up, please contact our Facilities Manager, Sam Deal.
  • Building Services and Amenities—A list of what you’ll find in and near the SON—everything from ATM machines to where the FedEx pick up location is to where to find coffee. Might be worth printing a copy.
  • Making Room Reservations—Rooms can be reserved through the University’s InfoPorte system, which allows users to access individual room schedules in Carrington and across campus, view the room/amenities, and request a reservation. To reserve a room:

1) Access Infoporte and use your ONYEN to login.

2) Click on “Tools” in the upper right corner of the screen, then click on the “Reservations” tab.

3) Find the room you are interested in reserving (i.e. Carrington 1600). You can check the schedule or view the room description by clicking on the available links.

4) When you are ready to request a reservation, click on the room and the email request form will appear. Once submitted, your reservation will be emailed to SON Rooms. You will receive an email confirmation once the reservation is finalized.

COMPUTER AND PHONE

The SON’s Office of Information and Instructional Technologies (IIT) is available to assist you with all manner of computer needs and online resources.

UNIVERSITY AND SCHOOL OF NURSING COMPLIANCE REQUIREMENTS

There are likewise some procedures or policies to which the University and/or the School requires your compliance. Please review the items below and take any action needed:

ECRT System (Effort Certification)

    • If any part of your pay is from a grant account, you will receive an ECRT reminder via email on a semi-annual basis.  The email will contain a link to the ECRT website which will require you to login using your Onyen userid and password. Once you login, your ECRT record will show the distribution of all your salary funding sources by percentage. You will need to verify the funding sources and percentages, then approve your record.
    • PIs, Co-PIs and consultants are required to complete the human subjects education and have an OSR certificate added to their project folder in the IRB office.
